Reflections on 1st meeting for cg1102 project (:


My cg1102 project team had the first meeting on the morning of 11th February, Thursday. The attendance was excellent as everyone turned up and was well prepared. We took a bit of time looking for a proper venue to do our filming. Soon after we found a suitable location, we started our discussion and started the video recording as well. However we encountered technical difficulties while trying to film our meeting. It was about 10 minutes into the meeting when we realized that the video we had been filming had not been recording any audio. We were lucky to have found out the technical glitch then itself and quickly fixed it after a few tries. Such obstacles in recording our meeting made us realize the importance of planning ahead and preparing and testing the equipment we were going to use in our meeting, ahead of time. Other than these minor problems, our meeting went smoothly as planned.
I had the role of a secretary in my team so I dutifully took down the important details as we discussed. I made use of point form notations so that the notes were clear and precise.  We managed to work together and each member in the team contributed a fair share to the discussion. All of us managed to get our ideas across without causing misunderstandings which further helped keep our meeting flow smoothly. However at times I felt that the minutes taking required me to step out of the discussion for a brief amount of time which was quite uncomfortable for me. 



In all, we managed to fulfill all the tasks we had specified in the agenda within slightly more than half an hour.
It was an interesting experience as it was the first time I have attended a meeting that was entirely caught on tape. I am very curious to have our meeting video critiqued so that we can receive constructive feedback on how to improve our discussion skills. In conclusion, I would say the first cg1102 project meeting was a successful one which left a positive impact on me.

    I liked your reflections as you not only talked about the meeting in general but actually had personal views and reflections about your role in the meeting. It was really lucky that you all had found out the technical problem in the beginning itself else the entire thing would have been wasted. This is one good experience for your group as the next time you will be aware of such problems. On the whole I'm glad that your meeting went well despite some minor problems and inconvenience faced. It is good to know that everyone contributed their part in the meeting and all of you worked together well as a team without any misunderstandings among each other. I wish you all the best for your next meeting and I wish that it will also be just as successful as the previous one.

    Your post is well-written because it provides a precise reflection on both the meeting in general and your feelings on the roles that you are performing in the group. It was unfortunate that your group encountered a technical glitch. However, I believe this glitch will prepare you for the future, in case such technical difficulties arise again. Personally, since I am also holding the role of a secretary, I can fully understand your dilemma. This predicament is obvious especially when you have to leave the discussion to take minutes, and to return to the discussion with doubts on where the project is currently at.

    Lastly, on a personally note, try to concise your blog post since it has exceeded the word limit.

  3. Hi Ish,

    I understand your point about minutes taking bringing you out of the conversation as I experience this in my group discussion sometimes as well. perhaps you can suggest to your teammates that they can slow down a while you take notes or ,similar to what I am doing currently , just don’t take any notes any pay attention to what they what discussing and jot down the main points or overview after someone has finished saying. Beside this, perhaps you can write in your blog post about your performance in the meeting as well as the fruitfulness of the meeting such as whether the objective of the meeting was met etc. as described in the tutorial handout.

    Thank you very much for your valuable comments. I realized that I have indeed talked more about my team performance rather than my own performance. Hence I would like to now add in more details on the evaluation of my own performance. As I have already mentioned in the post, I play the secretary role in the team. As such I had to ensure that I penned down important discussion points during the meeting which made me compromise with keeping up with the discussion. Hence I have learnt to take down important content as point form notations in order to speed up the process. In addition to the role of a secretary, I had to also play my role as a member in the team. Hence I made sure I contributed fairly in the discussion and brought up some important points to be discussed. I also displayed courtesy and respect by refraining from speaking when my fellow team member was talking. However, I feel that it would have been better if I had spoken slightly louder so that my point could have reached my team well and chances of being misunderstood would be minimal.
